HawkRobo Controller - Privacy Notice

HawkRobo Systems Inc. ("HawkRobo," "we," "us," or "our") provides the HawkRobo Controller mobile application (the "App"). The App runs on dedicated Android-based remote controllers and is used to operate supported HawkRobo robotic platforms.
This Privacy Notice describes how information is handled in connection with the App. The App is designed to minimize unnecessary collection, transmission, and retention of user and operational data. Certain optional features may require device permissions, network connectivity, or third-party services, as described below.
This Notice applies to the App only. It does not replace any separate privacy notice applicable to the HawkRobo website, customer portal, cloud service, support service, or other product or service.
This Controller Privacy Notice applies only to the HawkRobo Controller application and related controller functionality. It does not apply to the HawkRobo corporate website, which is governed by the separate HawkRobo Website Privacy Notice.
If an organization has specific privacy, security, deployment, retention, or configuration requirements, it should contact HawkRobo before deployment.
1. Privacy Approach
HawkRobo designs the App so that core robot operation can occur locally between the remote controller and the robot.
In the current standard configuration, HawkRobo does not intentionally collect through the App account-registration information such as names, email addresses, phone numbers, payment information, or account credentials for standard local operation.
HawkRobo also does not intentionally receive or centrally store routine robot video or audio generated during standard local operation, except where a user expressly activates a network-enabled, support, diagnostic, recording, or other feature that provides otherwise.
Limited technical information may be processed where reasonably necessary to provide, secure, maintain, troubleshoot, update, or support the App or an enabled feature. The type of information processed may depend on the hardware, software version, payload, network configuration, enabled feature, device operating system, or third-party service in use.
HawkRobo seeks to minimize unnecessary collection, transmission, and retention of information, particularly in professional operating environments where privacy, security, and operational control are important.
2. Local Operation by Design
The App and supported HawkRobo platforms are designed so that core robot control and live robot video can operate over a direct local connection between the remote controller and the robot.
In the current standard configuration:
An Internet connection is not required for normal local robot operation.
No HawkRobo account or sign-in is required for standard local App use.
Optional device permissions are requested when a feature that requires them is activated, subject to Android operating-system behavior and device configuration.
Certain optional, support, diagnostic, update, remote-access, or future features may use Internet connectivity, network services, or third-party service providers.
Technical behavior may vary by hardware, software version, payload, deployment configuration, network environment, or enabled feature. Nothing in this Notice is intended to represent that every HawkRobo product or configuration operates identically.
3. Optional Features and Device Permissions
Certain optional features require permission from the Android operating system before they can function. The permissions presented to a user may vary by device, Android version, App version, hardware configuration, or enabled feature.
Microphone
The microphone permission may be requested when a user enables two-way audio or another audio-enabled feature. The microphone is used to provide the selected functionality. HawkRobo does not intentionally use the microphone through the App for unrelated purposes.
Screen Capture / Screen Sharing
Android may require screen-capture or screen-recording permission when a user chooses to share the controller screen. The operating system may display a notification or other indicator while screen sharing is active.
Network-Related Permissions
Certain device or network permissions may be required to establish Wi-Fi, cellular, local-network, screen-sharing, device-setup, or other supported connections. HawkRobo does not intentionally use those permissions through the App to track a user's physical location unless a specific enabled feature expressly provides otherwise and any required notice or permission is provided.
Like other Android applications, the App may rely on standard technical permissions granted or managed by the operating system. Users may review or revoke permissions through Android settings. Revoking a permission may disable the corresponding feature.
4. Two-Way Audio
If a user enables two-way audio, the App may use the controller microphone to transmit the user's voice between the controller and the robot or supported payload.
In the current standard configuration, HawkRobo does not intentionally receive or centrally store the content of that audio unless a separate enabled feature, service, diagnostic function, support workflow, or customer configuration expressly provides otherwise.
Audio may be recorded only where a supported recording function or other authorized recording workflow is enabled.
Users and deploying organizations are responsible for complying with applicable laws, policies, notice requirements, and consent requirements governing audio monitoring and recording.
5. Recording
Recording is disabled by default in the current standard configuration.
Where a supported recording feature is enabled, video or audio may be stored locally on supported equipment or removable storage media, depending on the system configuration.
HawkRobo does not intentionally receive or centrally store locally recorded content unless a separate enabled feature, service, support workflow, customer configuration, or written agreement expressly provides otherwise.
Users and deploying organizations control when supported recording functions are activated and are responsible for complying with applicable recording, privacy, surveillance, notice, consent, evidence-handling, retention, and deletion requirements.
Available recording methods and storage locations may vary by product, payload, configuration, and software version.
6. Screen Sharing and Third-Party Services
If a user enables screen sharing, the contents of the remote controller's screen may be transmitted over an Internet or other network connection to viewers authorized by the user.
HawkRobo currently uses LiveKit as a third-party real-time communications or transport provider for certain screen-sharing functionality. LiveKit may process technical, network, device, or session-related information as necessary to provide its service, subject to its own privacy and security practices.
HawkRobo does not intentionally record or retain screen-sharing content through the standard screen-sharing feature unless an enabled feature, support workflow, customer configuration, or written agreement expressly provides otherwise.
In the current standard configuration, core robot control traffic and live robot video are designed to remain on the direct connection between the controller and the robot unless a network-enabled feature, configuration, service, or customer deployment expressly provides otherwise.
Third-party providers, integrations, and technical architecture may change over time. HawkRobo may replace or add service providers where reasonably necessary to operate, secure, maintain, or improve supported functionality.
7. Information Sharing and Disclosure
HawkRobo does not sell personal information for monetary consideration.
HawkRobo may disclose or make information available to service providers or contractors where reasonably necessary to provide, operate, secure, maintain, troubleshoot, update, or support the App or an enabled feature. Those providers may process information on HawkRobo's behalf or under their own applicable terms and privacy practices, depending on the service.
HawkRobo may also disclose information where reasonably believed necessary to comply with applicable law, regulation, legal process, or a valid governmental request; to investigate or prevent security incidents, fraud, misuse, or unlawful activity; to protect the rights, property, safety, or security of HawkRobo, users, customers, or others; or in connection with a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar corporate transaction, subject to applicable law.
Because the App is designed to minimize centralized collection, HawkRobo may have limited or no user content available in many circumstances.
8. Data Security
HawkRobo seeks to reduce privacy and security risk by minimizing unnecessary centralized collection and retention of operational data.
Where network-enabled features are used, HawkRobo and its service providers may employ administrative, technical, and physical safeguards appropriate to the applicable service, which may include encrypted communications, access controls, or limited-duration credentials where supported.
No method of transmission, network, software, device, or storage system can be guaranteed to be completely secure. Accordingly, HawkRobo does not warrant absolute security of information.
9. Data Retention and Deletion
HawkRobo generally retains App-related information only for as long as reasonably necessary for the purposes for which it is processed, including to provide or support a feature, maintain security, meet legal or contractual obligations, resolve disputes, or enforce agreements.
Information stored locally on the controller, robot, payload, or removable storage is subject to the applicable device configuration and user or customer control.
Users may be able to clear locally stored App data through Android settings, uninstall the App, or erase or remove supported storage media. The effect of these actions depends on the device, operating system, App version, and system configuration.
Information processed by a third-party provider may be retained according to that provider's applicable policies, contractual obligations, or technical requirements.
10. Privacy Choices and Rights
Users may choose whether to activate optional features and may review or revoke device permissions through Android settings, subject to device and operating-system limitations.
Depending on applicable law and the nature of information processed, an individual may have rights relating to access, correction, deletion, restriction, portability, objection, or other processing of personal information.
Because HawkRobo intentionally minimizes centralized collection, HawkRobo may not possess information associated with a particular individual in many circumstances. HawkRobo may need to verify a request before responding and may deny, limit, or retain information where permitted or required by law.

12. California Privacy Notice
California residents may have privacy rights under applicable California law. The scope of those rights depends on the law that applies to HawkRobo and the particular information and processing activity involved.
HawkRobo does not sell personal information for monetary consideration. HawkRobo does not knowingly use or disclose personal information for cross-context behavioral advertising through the standard App configuration.
To the extent applicable law grants a California resident rights with respect to personal information processed by HawkRobo, eligible individuals may submit requests to exercise those rights. Applicable rights may include requests to know, access, correct, or delete certain personal information, and to limit or opt out of certain uses or disclosures where required by law.
HawkRobo will not unlawfully discriminate against an individual for exercising an applicable privacy right.
Because the App is designed to minimize centralized collection, HawkRobo may have limited or no information associated with an individual in response to a request.

13. Children
The App is designed for professional and organizational use and is not directed to children. HawkRobo does not knowingly use the App to solicit personal information from children. If HawkRobo learns that personal information was collected through the App from a child in circumstances requiring parental consent or other legal authorization, HawkRobo will take appropriate steps consistent with applicable law.
14. International Use
The App may be used in jurisdictions with privacy, surveillance, recording, telecommunications, data-localization, or other legal requirements that differ from those in the United States. Customers, users, and deploying organizations are responsible for determining whether their deployment and use of the App and connected equipment comply with laws and policies applicable to them.
Where HawkRobo processes information across jurisdictions in connection with an enabled service, support activity, or provider, HawkRobo will address applicable transfer requirements as required by law.
15. Changes to This Privacy Notice
HawkRobo may update this Privacy Notice from time to time to reflect changes in products, software, services, technical architecture, service providers, legal requirements, or privacy practices.
When HawkRobo makes changes, the revised Notice will be posted with an updated effective date. Where required by law or appropriate under the circumstances, HawkRobo may provide additional notice of material changes through the App, website, product documentation, customer communications, or other reasonable means.
The version of this Privacy Notice in effect at the time of the relevant use or processing will apply, subject to applicable law.
